As we continue to grow, we are creating a dedicated Order Entry Specialist role to centralize ownership of order accuracy, compliance, and timeliness. This position plays a critical role in ensuring clean, accurate order flow while enabling Sales, Quoting, and Customer Service teams to focus on higher-value, growth-driving activities.

Position Summary

The Order Entry Specialist is responsible for the accurate and timely entry of sales orders received from internal teams into K&H’s ERP/CRM systems. This role serves as the central point of accountability for order quality, ensuring pricing, configurations, ship dates, and compliance requirements are correct before orders move into production.

This position works closely with Sales, Quoting, Accounting, and Production to reduce errors, prevent rework, and ensure smooth downstream execution. This role does not involve direct communication with customers. All customer-facing questions, issues, or discrepancies are handled by the Customer Service team.

Key Responsibilities

  • Accurately enter sales orders and revisions into ERP/CRM systems, ensuring completeness, pricing accuracy, delivery dates, and special handling requirements.
  • Review purchase orders for missing, incorrect, or conflicting information and route discrepancies to Customer Service or other internal teams for resolution.
  • Serve as the primary owner of order accuracy, documentation compliance, and internal process adherence.
  • Coordinate with Sales, Quoting, Accounting, and Production teams to ensure orders are released correctly and on time.
  • Manage internal order documentation related to order changes and corrections.
  • Track and document all internal order-related communications and updates within the CRM system.
  • Identify recurring order issues and suggest process improvements to reduce errors and increase efficiency.
  • Support continuity of operations during peak demand or emergency situations through cross-training as needed.

Preferred Qualifications

  • 1–2 years of office, administrative, or order processing experience
  • High attention to detail with strong data accuracy skills
  • Experience with ERP and/or CRM systems preferred
  • Proficiency in Microsoft Office (Word, Excel)
  • Strong written and verbal communication skills for effective internal collaboration
  • Ability to work independently while collaborating across departments
  • Organized, process-driven, and comfortable working with deadlines

Education & Experience

  • High school diploma or equivalent preferred
  • Prior experience in order entry or administrative support preferred

Schedule: Monday–Friday, 8:00 AM–5:00 PM
